Install for Windows

Follow these 6 simple steps to install your IO Email Signature in Outlook for Windows.

1. Locate and Open
  • Navigate to Email Signatures in SharePoint and locate your template in the relevant department folder.
  • Double-click on your email signature file to open and view it.

2. Select and Copy

With your signature template now open, you need to select the design in one of two ways:

  • Press CTRL+A to highlight all the contents, or:
  • Click and drag your cursor over the design.

Then, press CTRL+C to copy, or right-click your mouse and select ‘Copy‘ from the menu.

3. Open Outlook Signatures
  • Open Microsoft Outlook on your Desktop.
  • Navigate to the Settings (cog Icon) at the top right of your window.
  • Then select Account > Signatures from the left menu.

4. Create a New Signature
  • On the Signatures page, enter a name in the ‘Edit Signature Name’ field.

5. Paste in Your New Signature
  • Click in the empty box below where you have just entered the signature name and either press CTRL+V , or right-click your mouse and select ‘Paste‘.

6. Assign your New Signature
  • You can now assign your new signature by selecting it in both the ‘For New Messages‘ and ‘For Replies/Forwards‘ drop-down boxes.
  • Finally, click ‘Save‘ in the bottom right of the window.

Install for Mac OS

Follow these 6 simple steps to install your IO Email Signature in Outlook for Mac OS.

1. Locate and Open
  • Navigate to Email Signatures in SharePoint and locate your template in the relevant department folder.
  • Double-click on your email signature file to open and view it.

2. Select and Copy

With your signature template now open, you need to select the design in one of two ways:

  • Press CMD+A to highlight all the contents, or:
  • Click and drag your cursor over the design.

Then, press CMD+C to copy, or right-click your mouse and select ‘Copy‘ from the menu.

3. Open Outlook Signatures
  • Open Microsoft Outlook on your Desktop.
  • Navigate to Settings > Signatures at the top menu.

4. Create a New Signature
  • Click the ‘+‘ symbol to add a new signature.

5. Paste in Your New Signature
  • In the new blank window, name your new signature at the top next to ‘Signature Name
  • Click in the empty email body and either press CMD+V, or right-click your mouse and select ‘Paste‘.
  • Finally, click ‘Save‘ in the top left of the window.

6. Assign your New Signature
  • You will now see your new signature in the list, where you can assign it to be the default.
  • This can be done by selecting it for both ‘New Messages‘ and ‘Replies/Forwards‘.
  • Once this is done, you can close the Signatures window.

Install for HubSpot

Follow these 6 simple steps to install your IO Email Signature in Outlook for Mac OS.

1. Log in to HubSpot
  • Open your web browser and log in to HubSpot as normal.

2. Open Preferences
  • In the top-right of your HubSpot homepage, you will see ISMS.online.
  • Click on this to activate the drop-down menu.
  • Underneath your name and email, click ‘Profile & Preferences‘.

3. Open Email Settings
  • Under ‘General‘, click on the ‘Email‘ tab to open up the settings.

4. Manage Signatures
  • Scroll down and click the ‘Manage email signatures‘ link.

5. Copy your HTML Code
  • Click the button below and login with the password (shared via LastPass).
  • Locate your name in the list.
  • Click the ‘Copy Code’ button next to your name.
  • This will copy the required code to your clipboard, ready to paste into HubSpot.

6. Paste and Save
  • Within the pop-up window, select the ‘HTML‘ tab in the top-right.
  • Now paste your HTML code into the ‘Signature‘ field. This will generate the visual in the ‘Preview‘ box below.
  • Once done, click ‘Save‘ and your signature will now be live within your HubSpot account.

Great job! Your new IO Signature is now live and ready to use.

Please note: When your new signature is activated, it will appear at the bottom of all newly drafted emails. However, the company’s legal disclaimer won’t be visible as it is applied centrally. Once your emails are sent, the disclaimer will be automatically generated below your signature.
